Services Offered

Working with experts in Western’s department of Communications and Public Affairs, the Communications Specialists join teams of dedicated internal and external communications staff to uphold the professionalism and reputation of the faculty and university on a local, national, and global scale.

The Communications Specialists are accountable to the Dean to develop and provide quality services that uphold the strategic priorities of the faculty and university.

Specifically, the Communications Specialists manage projects related to print publications, branding, e-communications, internal and external communications.

Print Publications

Depending on the scope of the project, some projects can be completed in-house, using templates provided by Western’s department of Communications and Public Affairs, while other projects need to be outsourced.

In-house designs
  • One-pagers: 8.5X11, double-sided document
  • Four-pagers: 11X17, folded to 8.5X11
  • Posters (for internal use) – 8.5X11 and 11X17
  • Advertisements for Western News 

Projects to be outsourced may include:
  • Brochures – more than four pages
  • Posters for external distribution
  • Presentation folders
  • Banners and displays
  • Advertising campaigns for external publications
NOTE: Project planning, writing, copywriting and editing services are available for all print projects, including projects completed in-house and those that are outsourced.

Branding

On January 26, 2012 Western University revealed a new visual identity for the university. Western Engineering works with the department of Communications and Public Affairs to make Western’s identity as consistent as possible; therefore Western Engineering has adopted the new visual identity at the faculty level and we adhere to the guidelines set by the university.

The Communications Specialist (Engineering) manages branding for the faculty in the following ways:
  • Logo use and application
  • Templates, including PowerPoint, electronic letterhead, etc.
  • Stationery orders, including business cards, envelopes, letterhead, etc.

e-Communications

Communications advice and guidance is available to all faculty, staff and students for web projects, including content review and assistance with images for the web.

Technical questions should be directed to the IT Help Desk.

The Communications Specialist (Engineering) also oversees the following e-Communications projects:
  • Updating Western Engineering’s homepage
  • Writing news items for Western Engineering’s website
  • Managing Western Engineering’s social media websites
  • Creating and distributing e-Newsletters

Internal Communications

Communications advice and guidance is available to all faculty, staff and students for internal communications including event promotion, news updates, emergency communications, and more.

The Communications Specialist (Engineering) oversees the following reoccurring internal communications projects:
  • Weekly events and deadlines email sent to undergraduate students, graduate students, faculty and staff
  • Writing news items for Western Engineering’s website
  • Providing support to the Office of the Dean in instances of emergency communications (i.e. service disruptions, labour disruptions, etc.)

External Communications

Communications advice and guidance is available to all faculty, staff and students for external communications, including media relations and special events.

The Communications Specialists oversee the following external communications projects:
  • Creating media releases with Western’s media relations team
  • Creating media advisories with Western’s media relations team
  • Responding to media calls directly sent to Western Engineering
  • Writing news items for our website and e-newsletters
  • Creating and/or reviewing invites to Western Engineering events
  • Preparing speaking remarks for the Dean

Photography

Careful selection of photography when producing print or electronic communication materials is important.

Western Engineering has invested in some high-quality professional photography of students and faculty in different environments. We have a selection of images available for faculty, staff and student use. The images are owned by Western Engineering and Western University but can be made available to individual units and departments upon request.

The Communications Specialists are available to assist faculty, staff and students to select/determine the best photographs for print and electronic communications materials. The Communications Specialists are also available to work with faculty, staff and students to hire a professional photographer.

In some cases, the Communications Specialists will attend events to take photographs for online purposes.

Videography

Producing a high-quality video is a significant way to visually showcase and promote Western Engineering’s programs, facilities and students. A well-produced, professional video, which features official Western University or Western Engineering branding, helps to further the reputation of the faculty and provides an electronic record of programs and services.

Communications advice and guidance is available to all faculty, staff and students for video projects, particularly related to Western University standards and procedures for creating Western-branded videos and posting to Western’s YouTube channel.

Western Engineering and Western University have invested in some high-quality, professional videos, which are owned by the faculty/university and can be made available to individual units and departments upon request for use during presentations or posted to a website.

The Communications Specialists are available to work with faculty, staff and students to hire a professional videographer.
